How does NACE choose a conference site?

Gathering in person with colleagues is a highlight of our NACE Conference + Expo. We are committed to choosing sites that maximize member experience—balancing affordability, accessibility, and alignment with our values.

Guided by core values

Our core values anchor every site selection decision. On top of this foundation, we consider several key factors:

  • Dates: The conference is typically held in early June, though we may adjust as our member needs evolve
  • Timing: Venues are often booked 3–4 years in advance to best meet our site selection criteria and member needs at the time
  • Size of Property: Large convention-center–style facilities are needed to accommodate sessions, events, attendee flow, and accessibility to hotels
  • Pricing: Venue and hotel costs are negotiated to keep registration and accommodations reasonable
  • Health and Safety: Locations are evaluated for overall safety, emergency preparedness, and access to health care services
  • Transportation: Ease and cost of travel, including air, ground, and drive-time are considered
  • Geography: The conference rotates across several U.S. regions to serve our national membership
  • Availability: Venue availability often determines which cities can be considered

Partnering with experts

To manage this complex process, we work with one of the world’s largest meeting and event management companies. This company conducts a broad request-for-proposal process with 10–15 cities, and we evaluate responses against our criteria. It’s common for in-demand cities to decline if they are already booked years ahead.
